TERMS AND CONDITIONS FOR FIXED ITINERARY GROUP TOURS / TREK

Absolutely No Littering - Be a responsible Traveller / Trekker  

  • Strictly no littering during the entire tour/trek.
  • During the commute, a trash bag in the vehicle should be used to dispose of any trash.
  • During the trek/tour, or at the places of visit, keep/carry the trash with you until you reach the vehicle/hotel and dispose of it in the trash bag.
  • No arguments against this will be tolerated. If you are found littering, you may not be allowed to continue with the tour/trek with immediate effect. No refunds (neither partial nor full) if you are disqualified to continue with the tour/trek.

 

No Smoking 

  • Smoking is not allowed during the tour/trek. If you want to smoke, you can do so at designated areas, away from the rest of the co-travellers, after informing the tour/trek leader. You are expected to adhere to the timelines of the tour/trek and are expected to join the group back after the agreed time with the tour/trek leader.
  • Strictly avoid passive smoking of co-travellers / tour/trek leaders.
  • Do not force co-travellers/trekkers / tourists to smoke. Respect their decision.

 

No consumption of alcohol or Narcotics

  • Consumption of alcohol is not allowed during the tour/trek. If you are interested, you can do so at your own cost after informing the tour/trek leader. 
  • TrekOTrip and its organizers strictly prohibit the utilization of any narcotics and banned substances during the tours and would not be responsible for any adversities due to the same.
  • Weapons, fireworks, and toxic substances are not allowed on this tour/trek.
  • If you are found misbehaving after consumption of alcohol, you may not be allowed to continue with the tour/trek with immediate effect. No refunds (neither partial nor full) if you are disqualified from continuing with the tour/trek.
  • Do not force co-travellers/trekkers/tour leaders to consume alcohol. Respect their decision.

 

No illegal activities

  • Do not indulge in illegal activities, digress from the group or indulge in eve-teasing or physical/sexual assault. Any such activity will result in the abandonment of the accused with immediate effect. He/she will also be blacklisted from 'TrekOTrip' and will not be allowed to travel/trek with us in future.
  • No refund (neither partial nor full) will be entertained if you are abandoned, or blacklisted.
  • TrekOTrip is not responsible for any of the lost/theft items.

 

Respect your co-traveller, tour/trek leader, and tour coordinator

  • Travellers/Trekkers should respect other travellers/Trekkers in the group. Avoid discussions on sensitive topics, and using abusive/foul language.

 

Safety

  • Travellers/Trekkers are responsible for their safety
  • Travellers/Trekkers are responsible for their belongings
  • 'TrekOTrip' is not responsible for any loss or damage of any personal belongings, sickness, contracting a disease, accidents, injuries or death either during or after the tour.

 

Accommodation

  • Stays would be arranged at hostels, homestays, hotels or tents. The stay would be 2-sharing or 3-sharing or quad-sharing. If you have any specific requirement (no sharing, 2 sharing for couples, or 3 sharing for a small family or group of friends), it needs to be informed at the time of booking.
  • Separate rooms for males and females, unless specified at the time of booking.
  • Hostels may have mixed dormitories.
  • If you need deluxe / luxury accommodation or standard rooms, it can be provided, if feasible, at extra cost. If there is a requirement, please specify at the time of booking.
  • For backpack tours/treks, we provide basic but safe and clean accommodations, good to create enough long-lasting memories.
  • Any damage to our booked properties/transportation by any individual will be charged to him/her only.

 

Health Conditions

  • Travellers/Trekkers should be transparent about any health issues. Certain tours/treks require physical fitness. If you are unsure about your fitness if you are vulnerable to high altitude sickness or sea sickness), please consult your doctor before booking your trip. 'TrekOTrip' is not responsible for any untoward incidents that happen due to travellers/trekkers' health issues.
  • A doctor's certificate may be mandatory for certain tours/treks. Travellers/Trekkers will not be allowed to join the trip/trek if they do not produce the certificate from a registered doctor. No refunds will be given in such a case.
  • Your tour/trek leader may ask you to discontinue the trek/tour in case you fall sick or become vulnerable to any sickness (high altitude sickness, sea sickness or any other). If required, evacuation may be done for your safety, and the cost for the same has to be borne by the traveller/trekker.
  • No refunds will be given if the traveller/trekker cannot continue with the tour due to the traveller's/trekker’s health issues.

 

Unforeseen Issues

  • Changes in itinerary may occur due to unforeseen circumstances like (but not limited to) bad weather, excessive rains, landslides, unforeseen restricted entry, traffic conditions, protests, rallies, unrest etc.
  • All efforts will be made to cover places mentioned in the itinerary but anticipate changes in case of such situations. The decision of the tour/trek lead is final, travellers/trekkers should abide by it. No refund will be issued in case of any changes.
  • Any additional costs due to sickness / bad weather/traffic delays/flight or train cancellations/flight, bus or train rescheduling etc will have to be borne by the traveller/trekker.
  • 'TrekOTrip' is not responsible if the traveller/trekker misses the train/flight/bus / onward mode of transport after the tour ends. Any additional expenses to reschedule or new bookings should be borne by the traveller/terkker.

 

Fixed itinerary

  • The itinerary is fixed. No changes will be entertained. All travellers/trekkers have to adhere to the time specified by the tour/trek leader.
  • If the traveller/trekker wants to visit more places during the extra time, he/she can do so by making own arrangements.
  • If the traveller/trekker decides not to visit a place during the tour for any reason, no refund will be given.

 

External Services

  • 'TrekOTrip' uses services from other companies/businesses/freelancers for (not limited to) accommodation, travel, food, guide/co-ordinators, entertainment etc. 'TrekOTrip' is not responsible for any disputes/concerns arising out of the external services.
  • Any additional invoices/services used should be borne by the travellers/trekkers on a direct payment basis.

 

Documents

  • Every Traveller/trekker is expected to carry original documents like (but not limited to) Government Identity Proof, Address Proofs, Vaccination Certificates, Medical Test reports, Medical Certificates etc. Some of these may be mandated by the state/country of destination location. If the traveller/trekker fails to carry any of the required documents, he/she will be unable to continue with the tour. In such a case, no refund would be given.
  • While soft copies of the documents are accepted at most locations, it is advised to carry original documents as we go to places that may not accept soft copies.

 

Policy Acceptance

  • If the payment (either partial or full) is done for the given quote, then all the travellers/trekker (on behalf of whom the payment was made) have accepted the terms and conditions mentioned in this policy.
  • The decision of the tour/trek leader is final. All travellers/trekkers have to abide by tour/trek leader’s decisions.

 

Changes to Terms and Conditions

  • The terms and conditions can change at any time without prior notice

  • The amount mentioned while booking is for the itinerary and the dates agreed upon. No changes in dates of travel or itinerary are allowed after the initial booking is done. Minor changes may be accepted if there is no change in price and is subject to availability
  • If traveller/trekker wants to visit more places during the extra time, he/she can do so by making own arrangements.
  • If the traveller/trekker cancels the visit to a place during the tour/trek for any reason, no refund will be given.

 

External Services

GENERAL CANCELLATION / REFUND POLICY
  • If the group tour is organized by a third-party travel/trekking company or a partner/freelancer, then the cancellation policies of that company apply. 'TrekOTrip' will not charge any extra cancellation charges (other than the third-party cancellation charges). Please check the cancellation policy before booking your tour.

 

Cancellation by 'TrekOTrip'

 

  • 'TrekOTrip' may cancel the group trip/trek if there is no minimum number of bookings, due to bad weather, or due to any unforeseen event. In such a case, a full refund (excluding the bus/train/flight cancellation charges, if any) will be given.
  • 'TrekOTrip' may cancel the customised trip/trek due to bad weather, or due to any unforeseen event. In such a case, a full refund (excluding the non-refundable portion or the bus/train/flight cancellation charges, if any) will be given.
  • No refund will be given if you are not allowed to join the trip/trek when you show any COVID-19 symptoms or if you fail to provide the mandatory doctor's or vaccination certificate.

 

 

Cancellation by the Traveller(s) / Trekker(s)

 

  • No refund (neither partial nor full) will be given once the agreed tour/trek begins.
  • No refund if the traveller/trekker does not turn up at the agreed place, date, and time.
  • No refund will be given if you are not allowed to join the trip/trek when you show any COVID-19 symptoms or if you fail to provide the mandatory documents (doctor's certificate, vaccination certificate, medical test report etc)
  • Certain tours/treks may include a partial non-refundable amount. That amount is not refundable for any reason.

 

  • A fixed non-refundable charge of ₹500 applies to tours/treks costing up to ₹5000, and a charge of ₹1000 applies to tours/treks costing above ₹5000. This charge is non-refundable under any circumstances.
  • If the tour/trek is cancelled before 31 days of the tour/trek start date, the full amount (excluding bus/train/flight cancellation charges and fixed non-refundable amount, if any) will be refunded.
  • If the tour/trek is cancelled within 30 days of the tour/trek start date, 75% of the total Trek/Tour amount (excluding bus/train/flight cancellation charges and fixed non-refundable amount, if any) will be refunded.
  • If the tour/trek is cancelled within 11-20 days of the tour/trek start date, 50% of the Total Trek/Tour amount (excluding bus/train/flight cancellation charges and fixed non-refundable amount, if any) will be refunded.
  • If the tour/trek is cancelled within 10 days of the tour/trek start date, 100% of the Total Trek/Tour amount will be charged and no refund will be provided.
  • The applicable refund amount will be processed within 10 business days.
PRIVACY POLICY

'TrekOTrip' may collect personal data such as (but not limited to) mentioned below. This is required for providing the services mentioned in the site/booking. Any further communication related to the service booked will happen through mobile number or email address only.

  • Place of residence
  • And others as required

         

For group trips/tours/treks

  • A common WhatsApp /Signal / Telegram group may be created for effective communication during the tour.
  • The group may be created a few days before the tour start date. These apps disclose the phone number (and other information) to fellow travellers/trekkers and trip/trek coordinators/leads. Please go through the privacy settings available with these apps to restrict any information, if possible.
  • For customized or group trips/trek, your number may be shared with additional service providers (for example, for cab pickup, places of stay etc). The information will be shared only on a need basis.
  • During the tour/trek, group photos may be clicked by the trip/tour leader, or by some of our partners. Some of these photos may be used in social media or for other promotional purposes. If you do not want the photo (in which you are present) to be used for promotional purposes, please inform the tour/trek leader coordinator. Your privacy will be respected.
  • The information we collect may be shared (only on a need/enquiry basis) with the law enforcement authorities.
  • In addition to the above information, the website may use software cookies to track certain information (like your IP Address, location etc). These are collected to provide a better browsing experience to you.
  • This website may also use external analytics software to target relevant ads that are of interest to you. Your browsing activities may
  • be collected by these external sites and are governed by the privacy policy of those sites. We do not disclose any personal information mentioned above with these software/sites.
  • This website/ Itinerary may provide links to external/third-party websites to provide more information about the service/place to you. If the link you click is taking you to a website outside of this website, then it is governed by the privacy policy of that website.

PAYMENT POLICY

 

Official Payment Channels:

Acceptable Payment Methods: Payments for any TrekOTrip services, including trekking, bike trips, leisure trips, mountain expeditions, accommodations, etc must be made through our official payment channels. This includes our secure online payment portal, official bank accounts, and authorized representatives. Our official website is www.trekotrip.com

 

Invoices and Receipts:

Payments must always be accompanied by an official TrekOTrip invoice and receipt, containing detailed information about the services purchased, dates, and total amount.

 

GST:

For GST input bills, users need to share valid GST number upon booking reservation, no request will be entertained afterwards for GST input billings.

Third-Party Payments:

Unauthorized Third Parties:

TrekOTrip does not accept payments made through unauthorized third-party channels, agents, or websites.

 

Liability for Third-Party Payments:

TrekOTrip shall not be responsible or liable for any payments made to unauthorized third parties. Clients who choose to make payments through unauthorized channels do so at their own risk, and TrekOTrip cannot guarantee the validity, security, or delivery of the services paid for in this manner.

 

Payment Verification and Confirmation:

Clients are encouraged to verify the authenticity of any payment links, bank accounts, or representatives by contacting TrekOTrip's official customer support channels.

Confirmation:

Payment confirmations and booking details will be provided only through official TrekOTrip communication channels, such as email or phone.

 

Fraudulent Payments and Scams:

 

Protection Measures:

TrekOTrip actively monitors and implements security measures to prevent fraudulent activities but cannot be held responsible for scams or fraudulent activities conducted outside of our official platforms.

 

Reporting Suspicious Activity:

Clients who encounter suspicious payment requests, fake invoices, or counterfeit TrekOTrip websites should report the incident immediately to our official customer support team

COVID-19 SAFETY MEASURES AND GUIDELINES

We understand you may have concerns about safety while travelling/trekking during these COVID-19 times. We have taken numerous precautions to practice safe travels (see below). Having said that, following the guidelines strictly is the responsibility of every traveler. Be a responsible traveler and abide by the guidelines.

 

From "TrekOTrip'

  • Usage of cleaned/sanitized vehicles for local transportation
  • Daily temperature check (with contactless thermometer)
  • Daily oxygen level check (with pulse oximeter)
  • Stay at clean hotel/hostel / home-stay / camp only

 

For Traveller(s) / Trekker(s)

  • For group trips, practice social distancing within the group
  • Wear good quality face masks at all times.
  • Carry enough masks required for the entire trip.
  • Carry enough napkins/tissue papers.
  • Whenever you feel like sneezing or coughing, use a tissue/napkin to cover your nose and mouth. Discard the same in your trash bag.
  • Carrying a hand sanitizer is mandatory and keep it handy at all times. Sanitize your hands after touching any common items, like door handles, windows, tables etc.
  • Preferably, carry and use your towels, blankets, and bedsheets.
  • Share your travel history of the last 15 days with 'TrekOTrip'
  • If you exhibit any COVID-19 symptoms during the trip/trek, inform the lead immediately.
  • If you tested COVID-19 positive within 15 days after the trip completion date, please inform 'TrekOTrip' us immediately. This will help alert your fellow travellers/trekkers.
  • It may be mandatory to provide a COVID-19 negative certificate or vaccination certificate for certain trips/treks/destinations.
  • Please note that the rules and restrictions keep changing depending on the number of active COVID-19 cases in the region. Also, the local administration may impose curfew, night curfew, Section 144 or any other restrictions without advance notice. Please anticipate changes while travelling during these COVID-19 times.
  • We know you are eager to travel. But it is important to follow the guidelines and be responsible while travelling.
